The challenge of managing the myriad tasks and projects of a growing team is not a new one, but we’ve come a long way from sticky notes and desk calendars. Using powerful cloud-based platforms, like Asana, it’s now possible to effectively manage the tasks and projects of an entire team from one central location–sticky notes completely optional.
At Grovo, Asana helps us to manage the team of 14 people collectively responsible for planning and producing over 50 individual pieces of content every week. This is no small feat. Every piece of content must pass through a gauntlet of more than 20 independent steps to go from concept to completion. And every piece of content is comprised of many smaller components, all created by different people, and all essential to the final product. Flexibility, efficiency, coordination, and communication are all paramount to making the Grovo machine run; Asana helps fuel them all.

If you spend as much time on the computer as we do, you know that keyboard shortcuts are a simple way to get things done faster. Asana has integrated great keyboard shortcuts into their platform, allowing our team to spend less time managing tasks and more time producing content. Use our graphic below to learn some essential Asana shortcuts.
Since most of our content goes through the same set of steps, Asana helps us save a ton of time with the ability to create project templates and simply duplicate them for each new piece of content.
To use a template project, simply create a project with all the required tasks and name it “Template”.
When it’s time to start something new, just open the template, click the dropdown to the right of the name, and hit “Duplicate project”.

Rename the project, select the info that you want copied, click “Create new project,” and you’re ready to go.
More often than not there are several people who need to be in the loop on a given task or project. With the “following” functionality, Asana helps multiple people stay updated automatically. Followers receive email notifications when key actions are taken, so everyone is always on the same page.
To add followers to a task or project, simply open it, hit “Tab + F” and type in the team member’s name. That’s it.
